How to Hire a Photobooth for Your Wedding: A Step-by-Step Checklist

Planning to hire a photobooth for your wedding? Follow this step-by-step UK checklist covering booth types, venue space, costs, contracts and a timeline.

Hiring a photo booth sounds simple until the quotes arrive. One supplier offers three hours with unlimited prints, another is cheaper because the travel fee comes later, and a third wants the booth in a corner your venue has already given to the cake. If you plan to hire a photobooth for your wedding, the real work is making those offers comparable and spotting the practical problems before you pay a deposit.

This guide takes you through eight steps, then gives you a month-by-month timeline and a checklist you can copy into your notes. Use it whether you're booking nine months out or nine weeks.

Step 1: Decide what the booth is for

Before you contact anyone, agree on the job you want the booth to do. The answer shapes everything else.

  • Keepsakes for guests: you'll want printed photos included, not digital-only.
  • A guestbook: you'll need extra prints per guest, so ask how many are included.
  • Entertainment between the meal and the dancing: you'll want something quick to use that people can return to.
  • Shareable content: a video or instant-sharing format may suit you better than prints.

Also think about who will use it. A mixed-age guest list usually does best with something obvious to operate, ideally with a friendly attendant nearby.

Step 2: Choose the type of booth

The main formats are open-air booths, enclosed booths, mirror booths, 360 video booths and digital booths. Bridebook's wedding photo booth guide (updated July 2026) gives rough space needs: an enclosed booth around 5 ft × 5 ft, a mirror booth around 8 ft × 10 ft, and a 360 booth around 10 ft × 10 ft. Open-air booths need very little beyond a backdrop, though groups still need standing room.

If your wedding is... Worth considering

Rustic, vintage or barn-style A wooden or retro booth, such as the Retro Box or Wooden Vintage Tripod

In a modern hotel or tight on space A compact option like the LCD Screen Slimline Pod

Formal, with a large reception room An interactive Magic Mirror

Large, with big friend and family groups An Inflatable Enclosed Booth

No format suits every wedding. Match the booth to your room, your guest list and how you picture people using it.

Step 3: Check your venue first

Ask the venue these questions before you fall in love with a booth:

  1. How much floor space can we give it, including room for a queue?
  2. Where are the sockets, and how far are they from that spot?
  3. What are the loading and access arrangements (stairs, lifts, narrow doors)?
  4. What time can a supplier get in, and when must they be out?
  5. Does the venue have preferred suppliers or ask for proof of insurance?
  6. Is the space step-free so every guest can use the booth?

Supplier requirements vary, so never assume. One supplier lists a minimum of 2.5 m × 1.5 m and about 1.5 hours for setup, while another's FAQs ask for around 3 m × 3 m and one hour. Those are examples, not standards, so ask your own supplier for their figures. Also ask whether setup time comes out of your paid hours.

Step 4: Set a realistic budget for wedding photo booth

Published UK prices vary widely. Bridebook says most wedding photo booth hire costs between £350 and £1,200 depending on hours and booth type, while wedissimo's marketplace data puts booths at roughly £250 to £650. The gap mostly reflects what's included, not who is "better value".

Features that change the price include hire length, unlimited prints, personalised print designs, an attendant, travel and overtime. Most packages cover a three- to four-hour window during the reception rather than a full day.

Compare quotes on a simple grid:

Items

  1. Hire hours (and does setup count?)
  2. Attendant included?
  3. Prints: unlimited, capped or extra?
  4. Digital gallery included?
  5. Print design included?
  6. Props and backdrop
  7. Travel and overtime charges

Total for what you actually want

A hypothetical example: one quote is £420 but caps prints at 100 and charges for travel. Another is £510 with unlimited prints and travel included. If you want a guestbook and have 120 guests, the cheaper quote may cost more once extras are added. Compare totals, not headlines.

Step 5: Shortlist suppliers and ask the right questions

Aim for three suppliers. Look at galleries from real weddings similar to yours, ask for sample prints, and read recent reviews for patterns such as punctuality, reliable equipment and how the attendant handled guests. Confirm they hold public liability insurance, as Bridebook advises, because many venues ask to see it.

Then put these questions to each one:

  • What exactly is included in the quote, line by line?
  • Is an attendant with the booth for the whole time?
  • What happens if the equipment fails during the evening?
  • Are there travel, overtime or early-access charges?
  • What are the deposit, balance date and cancellation terms?
  • When do you need our final print design?
  • Who is our contact on the day?

A supplier who answers quickly and specifically is usually easier to work with later.

Step 6: Personalise what guests will keep

Spend your personalisation effort where guests will see it:

  • Print design: names, date and a colour scheme that fits your wedding. This is the highest-value option because every guest takes one home.
  • Backdrop: a simple, well-lit backdrop often photographs better than a busy one.
  • Props: a few items that suit your theme beat a huge unsorted pile.
  • Guestbook: confirm how many extra prints are included and who supplies the book.
  • Online gallery: ask how long it stays live and whether guests can download everything.

Ask when final artwork is due. Rushed designs are where date and spelling mistakes slip in.

Step 7: Confirm the final details

A few weeks before the wedding, and again in the final days, reconfirm timings, venue access, booth position, power, your supplier's on-the-day contact number, the approved print design and any outstanding balance. Send insurance documents to the venue if requested. Also ask someone to announce the booth or encourage the first few guests, because it often needs a gentle start.

Your wedding photo booth timeline

When What to do

9–12 months out Decide your priorities, check venue space, shortlist suppliers. Bridebook advises booking this far ahead for May–September weddings.

6–9 months out Compare quotes on the grid, ask your questions, pay the deposit once the contract is clear

3–4 months out Choose personalization: print design, backdrop, props, guestbook

4–6 weeks out Approve final artwork and confirm timings with venue and supplier

1 week out Reconfirm access, power, contact numbers and the balance

Wedding day Nominate a guest to get things going and keep the supplier's number handy

Copy-and-paste checklist

  • Decided what the booth is for
  • Chosen a format that suits the venue and guest list
  • Measured the space and checked power and access
  • Set a total budget, not just a headline price
  • Compared three quotes on the same grid
  • Confirmed insurance and a technical backup plan
  • Read the deposit and cancellation terms
  • Got the booking confirmed in writing
  • Approved the final print design
  • Reconfirmed timings, access and contacts
  • Paid the balance and kept the receipt

Quick answers

When should I book? Bridebook suggests nine to 12 months ahead for peak-season weddings, and some suppliers book up even earlier.

How long should I hire for? Most packages run three to four hours during the reception. Ask whether setup time counts.

Is a digital-only booth enough? It can work if sharing online matters most, but guests won't leave with a print unless one is included.
